Step-by-Step Guide to Setting Up Gmail in Outlook

I love Gmail the most than any other email services I have used. I think most of us will agree with this. Sometimes, it is really daunting to open a browser every time, whenever I need to check my email. The idea to set up Gmail in Outlook to use my Gmail account through a desktop app becomes really handy in these situations.

Outlook gives us some out-of-the-box facility with an integrated calendar, contacts and to-do lists. When it comes to the corporate users Outlook always occupied the first place. I am not saying that the whole configuration is a milk run. Usually, it consumes some time and your patience. Simply follow these steps below to make it happen. So, let’s start the actual process to set up Gmail in Outlook.

How to Set Up

First of all we need to make sure if POP (Post Office Protocol) is enabled in Gmail or not. For that, in Gmail go to the mail settings, choose Forwarding and POP tab. Click to enable it for all mail. Also enable IMAP for Gmail from IMAP access category.

Now come straight to your control panel to set up mail settings. Choose Mail (32-bit) from here.

Click Add to open a small box where you need to give a profile name, and click ok. It will take you to a new dialogue box, where you have to set up your new mail account. Choose Manually Configure Server Settings option and hit the Next button.

In the following dialogue box, choose Internet E-mail and do the same. Here you should fill the settings information like Name, Email Address, Username and Password regarding the Gmail account you want to set up. Fill up the required detail as mentioned below.

Then Click on More Settings to configure the Gmail with right incoming and outgoing servers. You should get a test message to check whether your mailbox is configured correctly or not.

Choose the Advanced Tab from the next dialog box to update the PORT details. For incoming server (IMAP) use the port number 993 and encrypted connection will be SSL. For the outgoing server (SMTP), the port number will be 587 and encrypted connection will be TLS. The ‘Root Folder Path’ will be [GMAIL]. If you are done, hit Ok to save the port details here and on the internet setting dialogue box. Do not forget to press next to finish the mail settings.

Now open the Outlook. Here you need to choose outlook as a default program for Email, Contacts and Calendar.

If you don’t want to miss your daily news from RSS feeds then choose yes in the setting dialogue box to save the list that you have subscribed through this mail account.

Your Outlook is ready to use with your Gmail Inbox. If you are not getting the updated mail here, then click on the Send / Receive Button from the top bar of your outlook to update your mailbox.

There are several other things that you can do with it. You can Sync your Google Calendar with Outlook Calendar, what you need to do is just download the Google Calendar Sync. Install it with your Google account credential and choose the way you want to sync.

Now the most important thing if you are setting up your Gmail with Outlook 2007, you can set up only inbox of your Mailbox, but if you have Outlook 2010 you can sync your entire sent Items, Deleted Items as well as other sub folders. Appallingly, there is no way to IMAP the Draft Folder of Gmail with Outlook 2010 Draft Folder.
